New Tradition Homes began in 1987 with the Helmes family dream to build new homes of high quality, enduring design and lasting value. We named our company New Tradition Homes to demonstrate the combined excitement of building new lives, new memories, and new traditions in a new home. Today we are one of the largest homebuilders in Washington State, having built thousands of homes.

Admin Assistant/Contract Coordinator

DEPARTMENT: Purchasing

REPORTS TO: Purchasing Manager

WORKS WITH: Estimator, Purchasing Personnel

OBJECTIVES: Create, send, and track Purchase Orders for the home building industry. Coordinate and schedule the activities of subcontractors and suppliers in multiple communities with multiple projects. Process, track, collect vendor rebates. Provide general office services, file maintenance, maintain trade and supplier contracts.

RESPONSIBILITIES:

  • Process, issue and post job specific budgets, purchase orders for services such as labor and/or material, variance purchase orders, and change purchase orders
  • Schedule and reschedule subcontractors and suppliers
  • Assist with analyzing and reducing schedule variances
  • Understand the capacities of each subcontractor and supplier to insure no overlap or gaps in the scheduling of multiple projects
  • Maintain good current understanding of various scheduling theories and methods
  • Maintain regular schedule reports
  • Maintain Trade Agreements for all trades and suppliers
  • Process, track, collect Vendor Rebates
  • May assist in creating and maintain Scopes of Work for all trade categories.
  • Assist in assembling, distributing, filing Custom Option requests
  • Assist to maintain costs of all labor and supply units from all vendors
  • Help identify cost-saving techniques, materials and procedures.
  • And other duties as specified by management


DESIRED QUALIFICATIONS:


  • Education/Experience: Minimum High School Diploma, 1-2 years full-time experience in a purchasing department of residential building components, or equivalent combination of education and experience.
  • Simple knowledge and understanding of residential building codes and construction methods.
  • Language Skills: Ability to read and analyze general office and construction related documents including vendor contracts, Insurance certificates, Scopes of Work. Ability to write reports, business correspondence, create spreadsheets, and other residential construction documents. Ability to effectively communicate and disseminate information and respond to questions from Managers, contractors, suppliers, clients, customers, and the general public. Ability to communicate effectively with the occasional dissatisfied business associate or customer.
  • Mathematical Skills: Ability to work with mathematical concepts such as fractions, percentages, rations,  and proportions to practical situations.
  • Reasoning Abilities: Ability to solve practical problems and deal with multiple variables. Ability to interpret a variety of instructions furnished in written, oral, or diagram form. Understanding the relationship and differences between legal and technical documents. Disseminate and collect information into common comparables.
  • Computer Skills: To perform this job successfully, an individual should be proficient in the following software programs: Microsoft Word, Microsoft Excel, Microsoft Outlook, Internet explorer, BuilderMT, Workflow Management, and Sales Simplicity.

I don't remember the first time I saw a New Tradition home, but it was MANY years ago. During the internet evolution, I have watched New Tradition evolve into a great company. I don't know why, I guess it was my dream to own one I just didn't know it yet. Years later, my husband and I decided it was time to build. After looking at all the builders and communities we stopped into a New Tradition home and he fell in love! (I was already there). 4 months later the floor plan of our dreams came available and we were hooked. 1 year later, we are now in our New Tradition home and I couldn't be happier!
